Administrative & Accounts Management.

Administration:

  • Coordination and preparations of Body Corporate meetings (including Annual General Meetings, Committee Meetings and Extra General Meetings) – this includes all meeting notices, minute taking and reporting post meeting. 
  • Establishing and maintaining register of owners and contact details. This also includes contact details for property managers and tenants for properties which are rented. 
  • Secure management of body corporate records – including updates to Operational Rules 
  • Preparation and arrangement for execution of Disclosure Statements to be charged to individual owners as required.

Accounting:

  • Preparation of Annual Accounts and AGM financial reports. 
  • Preparation of Committee meeting accounts and Financial Reports. 
  • Debtor report, initial follow up of debtors and advice for further follow up to Committee. 
  • Preparation of annual Body Corporate budget and subsequent annual levy calculations based on unit entitlement. 
  • Regular monitoring of expenditure against budget and levy payments. • Preparation and lodgement of Annual Return with IRD. 
  • Management of Body Corporate bank accounts – full transactional reports available and provided to the Chairperson and Committee on a regular basis. 
  • Invoicing of levies following AGM or EGM, receipting of levy payments and bank account reconciliation, issuing levy statements to owners, payment of Body Corporate invoices

BC Facilities Management:

As a company, we offer a range of FM services so are happy to help, if and when require, The below details some of the facilities management services we offer. 

  • Management of service contracts, ensuring terms and provisions are adhered too, and their renewals – this includes annual building compliance, onsite routine inspections, rubbish collection, gardening, cleaning, etc. 
  • Full BWOF compliance, health and safety compliance, compliance with the Unit Titles Act
  • Annual insurance renewals and valuations
  • Management of communal areas such as driveways, garages, walkways. 
  • Engaging with contractors to quote and then develop long-term maintenance plans.
  • Facilities management reports for AGM and committee meetings. 
  • General contract and facilities management advice.
